Who we are

Firmissimo is a service of Friction Films BV, Aragonstraat 1/2, 2500 Lier, company and VAT number BE 0550.974.252, RLE Antwerp, Mechelen division. We are responsible for the data of your account and your business, and for this website. Send privacy questions to info@firmissimo.eu.

Your account

To sign you in we keep your email address, your password (encrypted only), your language and which version of the terms you accepted. Your email address and your business name are required: without them we cannot give you an account. Legal basis: our contract with you.

Your business data

What you fill in and confirm, such as name, description, contact details, opening hours, service area, features, logo and video, is kept to build your business page. It only goes online when you click Publish, and you can always take it offline. If you invite someone to your team, we keep their email address to send the invitation. To check that you manage the business, we send a code to an e-mail address on your website's domain, or call your business on a number we look up ourselves. We keep how and when that check happened. Legal basis: the contract.

The website check

With your permission we read up to 10 public pages of your website. To make suggestions, we send the text of those pages to Anthropic. For each suggestion we keep the sentence where we found it. The full page text is deleted after 90 days. Legal basis: the contract.

Your free check and the AI measurement

When you sign up we ask for your town and your website. With them we run your free check: we read your website and ask AI assistants what they say about your business. After that we ask questions every month as your customers would, and keep the answers so you can see the trend. Those questions contain your business name and town, no visitor data. The full answer text is deleted after 24 months; your report stays. Free check data, including earlier requests without an account, is deleted after 12 months. Legal basis: the contract.

Questions to Firmissimo

If you ask us a question in the app, we keep your email address and your question so we can answer, for 12 months. If you write in another language, we may have your question translated by Anthropic; we do not keep the translation. Legal basis: the contract.

Questions from visitors

Anyone who asks a question through a business page gives a name, an email address and the question. The business of that business page is responsible for that data; Firmissimo only stores and delivers it on that business's behalf. To prevent abuse we also keep a one-way code of the IP address. We delete the message after 12 months and never use it for advertising. To have your data deleted, ask the business or info@firmissimo.eu.

Payment

If you take a subscription, you pay through Stripe. Stripe processes your payment details; we never see your card number. We keep which subscription you have, until when it runs and Stripe's customer code. We keep invoices as long as the law requires (7 years). Legal basis: the contract and our legal obligation.

Security and abuse

To prevent abuse we count attempts to sign in, create an account or request a link, using a one-way code of your IP address and email address. Those codes are deleted after 1 day. Legal basis: our legitimate interest in keeping the service secure.

Use of the app

We note important steps in the app, such as 'business page published' or 'logo added', to help you and improve the service. Legal basis: our legitimate interest. We never use this for advertising.

Visitor numbers

On business pages we count the number of visits and clicks to the business's website per day. We use no cookies for this and track no one. On firmissimo.eu and the business pages, Vercel Web Analytics anonymously measures how many people view which page, from which country and through which source. This also works without cookies; we see no IP addresses and cannot recognise anyone. Legal basis: our legitimate interest.

Cookies

We only use cookies that are needed: to keep you signed in, and to remember your language, your light or dark theme and your active business. No advertising or tracking cookies.

Who processes your data

A few services help us, only on our behalf: Supabase (database and sign-in, servers in the EU in Ireland), Vercel (website hosting, EU region), Render (background processing of checks, measurements and emails, servers in the EU in Frankfurt), Resend (sending emails, United States), one.com (our mailbox info@firmissimo.eu, Denmark), Stripe (payments, Ireland and United States), and for the free check, the AI measurement, the website check and translations OpenAI, Anthropic and xAI (United States). Those AI services receive the questions about your business, the text of your public web pages and, when we translate a message, that message. xAI keeps that traffic for 30 days. Transfers outside the EU use the legal safeguards, such as the European Commission's standard contractual clauses. We do not sell data. As a backup, Supabase saves the database every day and keeps each copy for 7 days. Every night we copy photos, videos and logos to our own server in Belgium. What we delete also disappears from these copies; older versions are kept there for at most 30 days. If you ask for a proposal for a text or a photo description, we send that text or photo, with your business's confirmed details, to Anthropic. We only keep the fact that you asked and what it cost.

No automated decisions

We make no decisions about you based solely on automated processing. The AI measurement shows how AI assistants talk about your business; it decides nothing about you.

Your rights

You can access your data, have it corrected or deleted, restrict processing, object, take your data with you and withdraw your consent. Email info@firmissimo.eu; we reply within a month. If you are not satisfied, you can complain to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (dataprotectionauthority.be).

Stopping

If your subscription ends, your basic page stays online for free at the same address and you can keep editing it. Measurements, website checks, photos, video and service explanations stop; what you already had is kept, so everything is back at once if you subscribe again. Once a year we ask by e-mail whether your page is still right. If you do not confirm within a month, we take the page offline; we do not delete anything yet. As long as your page is online, we keep your account. If your page is offline and you have no subscription, we keep your account for 12 more months, counted from the later of these two: the end of your subscription, or the moment your page went offline (or from your sign-up if you never subscribed). You get an e-mail a month before; after that we delete your account and your business data, except what we must keep by law, such as invoices. Want everything deleted sooner? E-mail info@firmissimo.eu; we do it within a month.
